Enrolment without queues

We analyse your academic cycle and fee collection, from admission to certificate, and help you choose and integrate the student information system your institution needs.

The student, their grades and their account in one record

A student information system takes the student from admission and enrolment through grades, timetables, fees and certificate. The registry, teachers and treasury work on the same record.

Without it, enrolment happens in queues, grades are consolidated from each teacher's spreadsheets and arrears are discovered once cash is already tight.

Signs your company needs one

  • Enrolment creates queues in person
  • Fee arrears are discovered late
  • Grades are consolidated in spreadsheets
  • Students and guardians cannot see their statement
  • Reports to the education authority are prepared by hand
  • Timetables are built by hand every term

The cost of staying as you are

Enrolment weeks clogged up

The registry checks debt, prerequisites and places one by one, and each error is fixed with the student already in class.

  • Arrears seen too late

If payments take days to show, collections call those who already paid and miss those piling up months.

  • Certificates with errors

Hand-consolidated grades and records changed without a trace end up in a certificate that has to be redone or defended.

Student information system analysis in four steps

The starting point is your last term: enrolment, grades and collections as they actually happened, exceptions included.

Diego Muñoz, process and technology consultant
  1. One full term, end to end

With the registry, coordination and treasury we review how the last enrolment, grade closing and collection campaign were done.

  2. Rules, curricula and students

We write down the academic rules applied today by judgement, and review curricula and the student register.

  3. Academic requirements and demo

We turn what we observed into prioritised requirements and compare two to four systems with a guided demo using your real cases.

  4. Record migration and bank connection

We coordinate the migration plan with the provider and connect the system to bank collections, your ERP and accounting.

Student information system assessment and selection

We assess and help you choose

We analyse the academic cycle and fee collection, define requirements and help you choose the student information system; then we coordinate with the provider and connect the system to your ERP, accounting and bank collections. We do not offer our own implementation of student information systems.

Academic and collection cycle assessment

Enrolment, assessment and collection rules written down, with exceptions and who approves them.

  • Student system selection

Prioritised requirements, a demo script with your cases and a decision matrix with three-year cost per option.

  • Bank, ERP and accounting integration

Collection by student code, e-invoicing and accounting entries without keying twice.

Student information system: market options

In no order of preference. What weighs most is the rules of your type of institution (school, institute or university), collections through your banks and the reports your regulator requires.

Recognised platforms on the market

  • Ellucian Banner
  • Oracle Student Cloud
  • PeopleSoft Campus Solutions
  • Moodle (LMS add-on)
  • Q10 Académico

Selection criteria

  • Academic rules configurable by level or faculty
  • Online enrolment and payments with bank collection
  • Reports to the Peruvian education authority
  • Student and guardian portal that works on a phone

Student information system assessment: 36 questions, 9 minutes

This assessment reviews the student cycle at your institution: enrollment, academic records, tuition, retention and official records. The questions describe situations you can observe at the registrar, treasury and classroom.

Scored dimensions

  • Enrollment cycle. It looks at how a student moves from one academic term to the next and which rules are checked at enrollment.
  • Academic records. It looks at whether students, guardians, study plans, grades and timetables live in one record kept by named owners.
  • Tuition and collections. It looks at how tuition is billed, how bank payments reach the student account and how they flow to accounting.
  • Student retention. It looks at whether the institution detects absences, low grades and debt early enough to anticipate a student withdrawal.
  • Official grade records and reports. It looks at how grade records are closed and protected and how submissions to MINEDU, SIAGIE or SUNEDU are met.

What you receive

When you finish you receive the level of each dimension and the gaps ranked by priority. Each gap comes with a first action to review with your team before choosing or changing an academic system.

17 scored questions and 14 context questions (type of operation, size, current system). Context questions are not scored: they let us read the result against similar operations.

Free of charge. Only Diego Muñoz sees your answers.

Student information system: frequently asked questions

No. We analyse the process, help you choose the system and coordinate with the provider, who implements it. We connect it to collections, your ERP and accounting.

No. The change is planned so go-live falls between terms, with the next enrolment as a controlled test.

They are migrated with sample checks against the original records. The assessment defines how many terms to migrate and which stay archived.

Only for grade entry: a conversation with two or three teachers shows how grade reports are closed. The rest is worked with the registrar, coordinators and treasury.
