35questions on signing circuit, signers and certificates, in 8 minutes
Electronic signature, digital signature and certificates, each where it belongs
A signing platform sends the document, reminds each signer, verifies identity and seals the result. It also manages the digital certificates required by the tax authority and other bodies.
Peruvian law distinguishes electronic signatures from digital signatures, which use a certificate issued by an accredited entity. Each document type calls for its own: defining that is the first step.

Signs your company needs one
- Contracts are printed, signed and scanned
- Purchase orders require the manager’s wet signature
- The e-invoicing digital certificate expires without warning
- Nobody knows which documents are pending signature
- Customers take long to sign because the process is cumbersome
- Technical reports are signed on paper during visits
E-signature: who it is for and when it does not fit
A good fit for
- HR teams signing contracts, addenda and payslips with staff across several sites
- Sales teams that wait days for a quote or contract to be signed
- Managers who sign documents by hand that are then scanned and filed

Not a fit when
- The document requires notarisation or a formality an electronic signature does not replace
- Few documents are signed each month and the current circuit causes no delays
- External signers have no email or phone to receive the link
The cost of staying as you are

Days per signature
Printing, signing, scanning and sending can take days per signer, and the contract, purchase or invoice waits.
Expired certificate
If the e-invoicing certificate expires, invoices cannot be signed that same day.
Signature without validity
Using a simple signature where a digital one is required, or signing without authority, can leave a document without effect.
How I assess e-signature in four steps
First I separate which documents need a simple signature and which a digital certificate; only then is the platform chosen.

I list what gets signed
Document types, signers, volume and which kind of signature each requires.
I organise the workflow
Signer order, current powers, templates filled from the system and backups.
I help you choose the platform
I compare options with your real documents and outside signers.
I integrate
The document leaves the ERP or HR system and returns signed to the same record.

Legal criterion per document type
Your legal advisers indicate which need only a simple e-signature and which require a digital certificate.
Current templates
The contract or form templates in Word or PDF, with the fields that get filled in.
Certificates for signers
If digital signatures are used, the representatives’ certificates or electronic ID, obtained from the accredited authority.

Diego Muñoz
I assess your signing workflow, help you choose the platform (Odoo Sign, DocuSign or another) and integrate it with your ERP, HR system and document archive. Digital certificates are issued by an accredited entity.

Take the assessmentMarket options
Signature platforms differ in support for Peruvian certificates, cost per envelope or per user, and ERP integration.
Odoo Sign
Odoo Sign sends documents for signature from sales, purchasing or HR, with templates and signing from a phone. For documents that require a certificate-based digital signature, it is assessed alongside accredited providers.
Other platforms I assess
- DocuSign
- Adobe Acrobat Sign
- Firma Perú / RENIEC (DNIe)
- Llama.pe
- Signaturit

Selection criteria
- The kind of signature each document requires
- Outside signers and identity verification
- Templates and sending from your systems
- Evidence and document sealing
- Cost per user or per envelope
E-signature: limits and alternatives
Certificate issuance
I do not issue digital certificates. An accredited certification authority does.
Legal opinion
The validity of each document type is confirmed by your legal advisers. My assessment starts from that criterion.
Paper signatures that remain
Some signers or institutions will keep asking for paper. The circuit allows for that route and its filing.

This assessment measures how your documents are prepared, sent, signed, returned and proven, and how digital certificates are controlled. The questions describe observable facts, such as where a signed contract ends up or who warns of a certificate's expiry.
Scored dimensions
- Signing workflow and authority. It looks at whether each document type has defined signers, order and alternates, and whether the signer's current authority is verified.
- Templates and signer data. It looks at whether documents come from approved templates and whether each signer's data, internal or external, is recorded and current.
- Online and on-site signing. It looks at which method is used to sign documents, at the office and at the client's site, and whether external signers use it without help.
- Sending from the system and return. It looks at whether the document is sent for signature from the record that generates it and whether, once signed, it returns to that record and to the archive.
- Signing time and pending items. It looks at whether the signing time of each document type is known and what is pending with each signer.
- Validity, evidence and certificates. It looks at whether each document uses the signature type it requires, whether the proving evidence is kept and whether digital certificates have an owner and an expiry alert.
What you receive
When you finish, you receive your level in six signing workflow dimensions and the gaps ranked by priority. Each gap comes with the first concrete step to close it.
17 scored questions and 13 context questions (type of operation, size, current system). Context questions are not scored: they let us read the result against similar operations.

Before you start

The law recognises electronic signatures and gives digital signatures, with a certificate from an accredited entity, the same validity as handwritten ones. Which to use depends on the document; I review it with your legal team.
No. An accredited certification authority issues them. My part is to sort out which certificates you need, who owns each one and how they connect to your systems.
On most platforms, yes: they receive a link by email or message and sign from their phone. For documents that require it, identity verification is added.
